Welcome to Sapphire Fitness Academy! These Terms and Conditions outline the rules and regulations for the use of our website and services. By  our services, you agree to abide by these Terms and Conditions. Please read them carefully.

Sapphire Fitness Academy,” “we,” “us,” or “our” refers to the owners and operators of this website and the services provided an “you” refers to the users of our services.

SFA stands for SAPPHIRE FITNESS ACADEMY.

Payments

  • We provide 2-3 options for paying for fees:

  • One-shot payment with a discount.

  • SFA provides an installment facility (if service is applicable).

  • SFA has a finance facility available through third-party sources. (If service is applicable).

The fees for each of the three payment options will be determined by SFA Management and will vary.

  • Students who have chosen the EMI option from SFA are required to submit all post-dated cheques (PDC) within 15 days of enrolling. (If this service is offered). The charges for bounced cheques on EMI payments amount to Rs. 600/-, while the late fees are 10% of additional charge and will be covered every month as a late fee If amount of course is not received before or on due date, for example, if your balance is 10000/- you will be charged 11000/- including late fee.

  • If PDC will not receive from student within 10 days (maximum) of course start date, classes will be dropped for student. 

  • An installment option may be offered on selective courses, and additional fees will be applicable for the same.

  • The practical re-attending fee for 19 sessions is Rs. 10,000 for all three course options.

  • The balance amount for course has to be cleared within 75 days from the start date of the course. Otherwise, the student will not be allowed to attend lectures/ practical’s/examination until the payment is cleared. 

  • If amount for course is not paid by the due date, classes will be dropped for students.

  • The manual will be issued only after the payment is cleared at the bank. 

  • There will be a limit set to the number of students in a batch; therefore, if the desired batch is full, prospective students are advised to pay a non refundable deposit of 5000/- so that they can be put on the waiting list for the next desired batch. However, the balance must be cleared before the commencement of the next batch. 

  • If a student decides to discontinue their course midway after making the payment and fails to provide a written record of their course termination and afterward wishes to continue the course after the course validity (1 year), their previous admission will be considered terminated. The student must reapply for admission and pay the appropriate fees as a new student in order to restart the course.

  • The course completion term for CPT & CASN courses is 1 year from the date of the batch’s first lecture (weekday batches). If a student leaves or discontinues the course midway and does not appear for any exams in one year, the course validity term has expired, the institute will invalidate his or her admission, and no refund will be issued. If a student contacts the institute after the one-year course completion deadline to complete his or her pending course, the entire course price will be charged.

  • The course fee may be changed or modified at SFA’s sole decision.

  • It is normal for educational institutions to have a “no refund policy” once a student has enrolled in a course or program. This means that if a student decides to withdraw from the course or program, they will not receive a return of their money. SFA also adheres to this principle. Additionally, students cannot transfer their courses.

  • If a student decides not to continue in the batch for which he or she has enrolled and later wishes to join a new batch for the same course, and the course fee has increased since the time of their initial enrollment, the student must pay the difference in fees in addition to the batch changing fees. 

  • Course Validity: Enrollment is valid for one year after acceptance. Students who wish to continue with the course after the validity period will be charged the full cost if he/she have not cleared the examination within 1 year (only theory lectures are allowed to be attended for a lifetime for students who cleared the examination within 1 year).

  • All SFA course fees are NON-TRANSFERABLE. 

  • All payments must be made at the front desk or on dedicated payment link provided by SFA.

  • Course fees are inclusive of theory lectures, practicals, manual costs, 2 examination attempts, and certificate.

  • There are 2 options available for installment (EMI) option, first Bank EMI by credit & Debit Cards and the second is “EMI by SFA”. A processing fee and interest may be charged by the bank for an EMI, SFA does not levy any charges for availing Bank EMI.

Examinations & Certifications

  • Attending Exam

  • Offline mode: live exam at the branch

  • Online/recording mode: live exam at branch or student’s place

  • All of the courses come with two exam attempts; the first is part of the tuition, and the second is free. A thorough email will be sent to each student informing them of the exam date and time. However, if a student fails the first attempt at an exam, he or she may take the remaining second attempt. If a student decides to take extra exam attempts after missing the first two, a cost of Rs. 500/- of re-examination fee per exam will apply. The student must pass all of their examinations. If a student fails one of the tests, he or she must retake that exam within  7 months of the course start date. If the student desires to appear for the exam after the course validity expiration, a fee of Rs. 3,000/- will be charged. Then the student will be allowed to give two attempts to pass the exam, and he or she must do so within six months. All of the rules for paid attempts will apply, as previously stated.

  • Students must pass all tests to get their certificates, which are valid for three years from the exam date.

  • Students will receive a physical copy of their certificates (via courier or from the academy) upon successfully completing the examinations. A softcopy of the certificates will be provided to online students from abroad.

  • In the event that a student has lost their certificate, they must submit an email request for a duplicate. A duplicate certificate costs Rs. 500 (courier charges will be added if applicable).

  • Students must complete both the course and the examinations within the timeframe specified for their batch. It is essential to stick to the timeframe to avoid any delays in receiving the certificate.

  • The contact number for the SFA exam department is +91 78986 3343. A student may contact this number for any assistance or support regarding their examinations from 12:00 PM to 7:00 PM on Monday to Saturday (excluding national and religious holidays).

  • SPEFL-SC students are requested to submit the following documents via email (as previously mentioned) or WhatsApp to the exam department: Please ensure that all documents are submitted in a photo format, rather than a PDF.

  • Aadhar card front and back page

  • SSC/ HSC mark sheet (HSC is mandatory for Level – 6 certificate)

  • Passport size photo

  • Exam information will be sent via email. As a result, all students have to read their emails on a frequent basis and respond to them as soon as possible.

  • To revalidate or renew their certifications, students should write to info@sapphirefitnesacademy.com. Students will get more details regarding the process via email.

  • If students have any questions, concerns, feedback, complaints, or need to request a batch change, exam query, duplicate certificate, or revalidation, they can reach out to SFA via email. The email addresses to contact are info@sapphirefitnessacademy.com and cc support@sapphirefitnessacademy.in.

  • Passing criteria for the course will be a minimum of 90% attendance in Theory & Practical and scoring 60% in all exams.

  • Details regarding examination will be shared 10 days before via email.

  • Students are allowed to appear for their examination only if the complete course fees have been paid.

  • If someone is unable to appear for examination, you need to inform us before 72 hours via email. 

  • Student has to present a valid reason for being absent in the examination along with the proof by email. If the student is found to be unable to present the proof, then the attempt will be counted.

  • It is mandatory for all CPT students to go through CPR/AED & First Aid training; failure to do so will result in the student being denied permission to take the SFA examination. The CPR charge is included in the CPT course fee.

  • A student who fails the examination, but feels that he/she has been wrongly assessed, can appeal for re-checking of the paper. The appeal must be made in the form of a written application to management at support@sapphirefitnessacademy.in. Management will take the call on whether the appeal is warranted or not. Management’s decision will be final in this regards. 

  • The certificate will only be issued in the name mentioned on the registration form & Photo ID Proof submitted. 

  • Offline students must collect their certificate within 45 days, no later than 60 days from their exam date. The student must personally collect their certificate.

  • Students who are located near an SFA branch and have enrolled in online courses such as CPT, Nutrition, PTSP, and F&GT may request to take their exams at the nearest SFA branch. However, this facility is not available to students from outstation locations where the SFA is not situated.

  • Cheating during examination will lead to the termination of admission from the course. Students will not be allowed for re-examination and no refund will be given.

GENERAL & MANAGEMENT DISCLAIMER

  • The admission form’s objective is to notify the student of the course’s terms and conditions, which may include information about the course curriculum, duration, fees, and any unique student requirements or expectations. The form may also state the student’s rights and duties as a participant in the course. Before enrolling in the course, the student must read and understand the following terms and conditions:

  • CPT stands for Certified Personal Trainer course, CASN for Certified Advanced Sports Nutritionist course, PTSP for Personal Training for Special Populations, and F&GT for Functional & Group Training course.

  • SFA’s CPT course is officially affiliated with SPEFL-SC (Sports, Physical Education, Fitness, and Leisure Skills Council). This signifies that our CPT course met SPEFL’s standards and criteria for quality assurance in fitness instruction. An affiliation with a professional organization can generally demonstrate that our course training is recognized within the industry and meets specific standards. It may additionally increase the value and marketability of the certification or training obtained by students.

  • Our CPT, CASN, PTSP, and F&GT courses are available in three modes.

  • Offline

  • Online

  • Recording Module

  • Attending Theory Lectures: In the offline version, students attend lectures in person at an academy, interact with the lecturer and other students, and receive course materials in hard copy format. This form of delivery enables face-to-face interactions and hands-on learning experiences. The second option is the online format, in which students attend classes virtually via an online platform, engage with the teacher and other students using various online technologies such as video conferencing and discussion forums, and get course materials in hard copy format via courier. The last one is the recorded module, in which students receive recordings of current lectures by mail in the evenings, as well as course materials in hard copy format via courier or from the academy. This form of delivery enables additional flexibility by allowing students to attend lessons from anywhere and at any time, as long as they have access to the internet and a mobile/laptop. To enroll in any format of the course, students must first confirm their batch preference, which relates to the course’s specific scheduling and timetable. This ensures that they can attend lessons and communicate with the instructor and other students at their convenience. Students are mandated to have their cameras turned on during online classes. Keeping the camera on during online lectures can have a number of advantages, including making the learning environment more interactive and engaging, facilitating student communication and collaboration, and providing the instructor with visual cues to assess students’ understanding and engagement. Furthermore, having cameras on can help limit distractions and develop a sense of responsibility in students. However, there may be valid reasons why some students prefer to turn off their cameras, such as privacy concerns, technical challenges, or distractions in their surroundings. In such circumstances, students should express their concerns to the instructor and consider alternative methods of engaging in class. Finally, the option to keep the camera on or off during online lectures should be determined by the individual’s comfort level and the policies of the instructor or institution offering the course. Furthermore, students who participate in the recording module will receive recordings until the completion of the batch in which they enrolled; after that, access to the recordings will be removed by the institution’s IT department.

  • Attending Practical Training: SFA has a well-equipped gym floor that collaborates with Sapphire Gym and is utilized for practical training by both students and Sapphire Gym members. In any format, students receive 19 live (face-to-face) sessions at the Vijay Nagar Sapphire Gym branch. In online module, SFA will deliver live online practical training via Google Meet, which students must practice at a nearby gym.

  • SFA will create a WhatsApp group for each batch to share batch schedules, practical related information, placement recruiting information, and information about various courses and workshops given by SFA. The SFA will have complete control over the administration rights for these groups.

  • The Google Meet platform is used to conduct online lectures. Students are required to install the Google Meet application on their laptops or mobile devices. Hard copies will be delivered to all students as a form of study material.

  • The CPT course includes theory, demonstration, assignment, practical training, CPR training, a CPR card, a manual, an SFA exam, and a certificate, as well as an additional SPEFL exam and level – 4 certification. The Certified Advanced Sports Nutritionist Course includes Theory, Case-Study Solutions, Assignments, a Manual (Hardcopy), SFA Exams, and an SFA Certificate, as well as Certified Supplement Coach and Metabolic Health and Disorder Certificates, as well as an additional SPEFL exam and Level -6 certificate. PTSP consists of Theory, Case Study Solutions, Assignments, Manual (Hardcopy), SFA Exams, and SFA Certificate. The Functional and Group Training Coach course includes theoretical, practical training, demonstration, a manual (softcopy), the SFA exam, and a certificate. The Certified Supplement Coach course consists of Theory, Manual (Softcopy), SFA test, and Certificate.

  • A third party (KnowCPR) provides CPR/AED & First Aid training, and SFA will schedule it. If students from any other course or anyone else want to attend CPR, they can pay the appropriate fees and attend the lecture and training.

  • It is important for students to ensure that their contact information, including their mobile number, address, and email address, is kept up-to-date with SFA. They can do this by sending an email to the email addresses previously specified:

  • If a student has chosen to enroll in an offline course and then desires to attend online lectures during the course, he/she will get access to the online course services.

  • If a student wants to include SPEFL in their CPT, CASN, PTSP, or F&GT course, they must submit an email to the email addresses previously provided. The fees and course details will be shared in the same email. The terms and conditions will be applied.

  • In the case where a student or group of students is found to have caused damage to SFA property, they will be held liable for the cost of repairing or replacing the damaged property. SFA could take legal action in order to recover the expense.

  • It is essential to acknowledge that the use and sale of anabolic steroids are prohibited in India and numerous other countries. Therefore, SFA maintains strict regulations prohibiting the sale and use of anabolic steroids on its premises. SFA reserves the right to permanently ban any student from the institute and take legal action if the student is found to have used or sold anabolic steroids. The student will be responsible for all expenses.

  • In the case where a student is found to be engaged in any of the aforementioned activities, SFA could take disciplinary measures, such as eliminating the student from the course with NO-REFUND. These regulations are implemented to guarantee a healthy learning environment for all students and to preserve the code of conduct on the institute’s premises. The aforementioned activities include the use of foul language, being caught copying in examinations, smoking, consuming alcohol and chewing beetle leaf or tobacco in the premises in or around the SFA premises, recording the lecture on a mobile device, engaging in an argument, using abusive language, treating disrespectfully, or fighting with SFA staff or students.

  • In the case where a student is found to have violated any of the rules, or terms and conditions of SFA, the institute could take disciplinary action, which may include eliminating the student from the course.

  • Sexual harassment against any student or office staff member is a punishable offense. If the student is found guilty, strict action will be taken against them.

  • Natural disasters such as floods, earthquakes, or similar situations, as well as conditions such as the COVID-19 pandemic or other diseases, which are considered acts of God, or events such as fires, riots, city lockdowns, and public unrest, may cause the SFA Academy’s operations to be stopped until the situation is under control and the Government of India issues an official announcement. In such circumstances, SFA will issue further instructions for the continuation of operations, which students must follow.

  • If students miss a lecture and want the recording of that lecture, they should write an email to info@sapphirefitnessacademy.com or WhatsApp at +91 99776 11133. Our student support team will work with the students to coordinate this.

  • The student can call or WhatsApp the above mentioned number for any queries or recordings between 11.00 AM to 07.00 PM from Monday to Saturday (excluding national & religious holidays). No calls or messages will be answered after 07.00 PM on any day. 

  • If a student drops a message on WhatsApp for recording, he/she has to wait at least 24 hours to get the recordings.

  • If a student wants recording for lectures he/she has missed,. He/she will be provided only 7 recordings for that course. Access to recordings from students will be removed after 7 days from recording shared date.

  • The starting date of the upcoming class is subject to change. No refund will be given for delays.

  • Students will not be allowed to use the gym floor for practice unless they have a valid gym membership. All gym membership timing rules will be applicable in this case. 

  • All students are expected to maintain discipline and punctuality.

  • Students must comply with all member rules while using the gym floor.

  • It is the responsibility of the student to inform the lecturer and the training faculty of any or every health problem before commencing the practical. 

  • The institute maintains the right to modify the course schedule, material, fees or instructors without prior notice.

  • The institute is not responsible for any loss, damage, or injury faced by students during the course or on institute and gym premises.

  • Students are responsible for their own health and safety throughout the course.

  • Disputes Resolution:

  • Any disputes that occur between the institute and students shall be handled through negotiation and, if needed, mediation.

  • If a peaceful resolution to a conflict is not possible, legal action may be taken.

  • Admission to SFA courses is the sole decision of the Sapphire Fitness Academy.

  • Students must not keep their personal belongings or locker keys with any staff member in the gym or institution. Management will not be responsible for any theft or loss resulting from such actions.

  • Parking/valet parking in and around the gym premises is the sole responsibility of students.

  • Students must make all payments only at the front desk in exchange for a valid receipt. Students are advised to retain that receipt for the entire duration of their membership. No disputes or arguments will be entertained without presenting a valid receipt.

  • Students must not carry or store any illegal items or ammunition on the gym and institution premises. Management will not be responsible for such actions.
